Import an excel file to add or update your data list.

Except Yeeflow administrator, these who has "import" permission can see and use this function. It offers:

Before you start

Before you start an import, learn how to set up your import file to confirm you meet the requirements for your import type.

After then, click more action button mceclip0.png (near right top) ; then select Import.

Import to add items

If you're intending to import file to add items only. 

  1. Click START AN IMPORT
  2. Upload File -
    •  (Optional) Click Download a template with heads only. A pop-up windows will be open, after selecting the fields/header and click OK to download it. You will see these headers listed then. E. g. The field/column in red means it's a mandatory field in this list; the drop-down list will be listed in downloaded file.

    • Choose a file to upload, then click Next.

  3. Select Fields - During the import process, Yeeflow will match the columns in your file to your selected object type's properties based on the [header name] and  [list field name]. Otherwise, you can manually map your column headers to list fields. Ensure that the data in the rows match up to the correct header (e.g. rows with email data should have data in columns that map to email properties, and rows with department id data should have data in columns that map to department properties).
    • If any columns do not match an existing list field, click the corresponding drop-down menu. You can a) Select an existing list field to map the column to; or b) Select Don't import column to skip importing this column from your spreadsheet.
    •  If you're not intending to import any data in the unmatched columns, you can select the Don't import data in unmatched columns checkbox to skip these columns.
    • Once all columns are mapped or you've opted not to import data in the unmatched columns, click Next.

  4. Confirm the import -  
    • Enter an Import Name to define this export log; or/and
    • select the Time zone/Date format if any date/datetime/time object matched. And the import will directly convert the date/datetime/time in the file to the time zone displayed in Yeeflow system settings;
    • Then click Finish import. It will take some times to complete. You may close/refresh this windows if it takes too long time.

  5. Check Imports logs - you will be directly to the import page again. Or click Import again at any time if you would like to check.
    • Click the action button at right of each log, you can Download the imported file or Download error file (if has).

  6. Check the error reason -revise and import again if any.

Import to update items

If you're intending to import to update the existing item(s). You need to have "Export" permission and Export the file including [list item ID] which is an object owner for each row. 

Note: You need contact administrator to show the "Id"  if it does not have at this display list. You can export only the currently visible list fields and field data. mceclip9.png

  • You will have two columns (user's name and account email address) once you export a file with [user account] field. You may
    a) delete the column of user's name; or
    b) don't import this column during "Select fields" process as the user's name will be auto-generated with your user's attributes.

  • After the file updated and included an item "Id" header. 
  1. Click START AN IMPORT
  2. Upload FileChoose a file to upload, then click Next.
  3. Select Fields - during this process, you MUST have the data in list field matches up to the correct header with item id column. 
    • User Account & User Account (Email) . Make sure the User Account(Email) to be matched with an account email address and set "Don't import column" for user's account name if there has.
    • Once all columns are mapped or you've opted not to import data in the unmatched columns. Click Next

  4. Confirm the import -  Similar with above mentioned.
    • Enter an Import Name/Date format/Time zone to define this export log.
    • Click Finish import. It will take some times to complete. 
  5. Check Imports logs - you will be directly to the import page again. Click the action button at right, you can Download the imported file or Download error file if has.

  6. Check the error reason- revise and import again if any.
