The Assignment Editor is used to configure the assignee of an assignment task. To open the assignment editor, select the assignment task and click the "Assignment Editor" button from the properties window.
You can select a user or a job position as the assignee.
Select a User as the assignee
In the Assignment Editor, select "User" from the Tab. Choice "Direct" to select the specific user from the organization.
Select the user, then click "Add assignee" button to add the user to the selected assignee list.
Choice "Expression" to select the user from the variables, context or user/groups etc.
Click the (2) "Expression Editor" button to open the expression editor to select the assignee. For example, if you are configuring the Line Manager approval. You can select the "Instance Context -> Applicant -> Line Manager" as the assignee.
You can also select from the workflow variables, like select the variable that's associated with the User control on the form, so that the submitter can pick up the users as the assignee of specific assignment task.
Select Job position as the assignee
In the Assignment Edior, select "Job position" from the Tab.
(1) Select the position from the dropdown list. The available position is defined from the admin center.
(2) Direct - Select this if you want the users set for the position as the assignee.
(3) By Location - Select this if you want to select the user that the position associated to the selected location. For example, you select the position named "Finance Assistant", and you want this task to be taked by the "Finance Assistant" of Location A.
You can also define the location-based position with the expression.
For example, you can select the position named "Casher", and select "By Location", then set the expression as the Applicant's location. This means the assignee will be the Casher from the location that the applicant belongs to.
(4) By Organization - Select this if you want to select the user that the position associated to the selected organization. For example, you select the position named "Finance Assistant", and you want this task to be taken by the "Finance Assistant" of department A.
After selected, click the "Add assignee" button to add to the selected assignee list.
Set multiple assignees to an assignment task
You can set multiple assignees to one assignment task.
For example, you select the specific user ("Chris Green"), and the Casher of the applicant's location, and the Line manager of the applicant together as the assignees of this assignment task.
After all set, click the "Save" button to save your settings and close this window.
