Create a Scheduled Workflow with AI

Learn how to use AI Builder to create a scheduled workflow from a natural language description.

Yeeflow AI Builder allows you to create Scheduled Workflows by describing the tasks you want to automate and when they should run.

With Create with AI, you can generate a scheduled workflow based on your requirements instead of manually configuring the entire workflow from scratch.

Whether you need to automate daily updates, weekly reminders, or recurring data processing tasks, AI Builder helps you get started more efficiently.

How to Create a Scheduled Workflow with AI

Follow the steps below to create a Scheduled Workflow using AI Builder.

Step 1: Open Create with AI

Open the application where you want to create a Scheduled Workflow.

Click the + (Add Component) button in the top navigation bar to open the New application resource page.

In the Create with AI section, select Scheduled workflow as the resource type.

Step 2: Describe Your Workflow Requirements

In the Create with AI input box, describe the scheduled workflow you want to create using natural language.

For example:

Create a scheduled workflow that runs every Monday at 9:00 AM. Retrieve all pending tasks from the task list and send a reminder email to the responsible users.

For better results, include the following details in your description:

  • Schedule: Specify when and how often the workflow should run, such as daily, weekly, or monthly.

  • Workflow actions: Describe the tasks the workflow should perform, such as retrieving records, updating data, or sending notifications.

  • Data source: Identify the Data List or other application resources involved in the workflow.

  • Conditions: Specify any rules or criteria that determine which records should be processed.

Once you have entered your requirements, click Start with AI to begin generating the Scheduled Workflow.

Step 3: Review the AI-Generated Workflow

AI Builder generates a Scheduled Workflow based on your description.

Review the generated workflow to make sure it includes the required schedule and workflow actions.

Depending on your prompt, the workflow may include:

  • Scheduled trigger: Defines when the workflow should run.

  • Data operations: Retrieves or updates records in application Data Lists.

  • Conditions: Determines which records or actions meet specific criteria.

  • Notifications: Sends reminders or other notifications as part of the workflow.

Check that the generated workflow structure matches your intended automation process.

Step 4: Configure and Customize the Workflow

After the workflow is generated, open it in the Workflow Designer to review and adjust its configuration.

You can further customize the workflow by:

  • Reviewing the schedule and execution frequency.

  • Configuring the required data sources and field mappings.

  • Updating workflow actions and conditions.

  • Configuring notification recipients and message content.

  • Adding or modifying workflow steps as needed.

Make sure all required settings are properly configured before using the workflow.

Step 5: Test and Enable the Scheduled Workflow

Before enabling the workflow, review its configuration to ensure it works as expected.

Verify that the schedule, conditions, data sources, and workflow actions are correctly configured.

Where testing is supported, run a test to confirm that the workflow performs the intended actions.

Once the workflow is ready, enable or publish it using the available workflow controls so it can run according to the configured schedule.

Tips for Writing Effective Prompts

A clear and detailed prompt helps AI Builder generate a workflow that better matches your automation requirements.

For example, instead of entering:

Create a weekly reminder workflow.

Try a more detailed prompt:

Create a scheduled workflow that runs every Friday at 5:00 PM. Retrieve all incomplete tasks from the Project Tasks Data List where the due date is before the current date. Send a reminder email to each task owner with the task name, due date, and current status.

When writing your prompt, try to specify when the workflow should run, which records it should process, what conditions apply, and what actions it should perform.
