Metadata is data that provides information about other data. It is used to describe the content, structure, and semantics of data. Metadata is an important part of data management. It can be used to make data more findable, accessible, interoperable, and reusable.
There are many different types of metadata. Some common types of metadata include:
Descriptive metadata: Descriptive metadata describes the content of data. It can include things like the title, author, subject, and keywords.
Structural metadata: Structural metadata describes the structure of data. It can include things like the format, schema, and relationships between different data elements.
Administrative metadata: Administrative metadata describes how data is managed. It can include things like the creator, owner, and access permissions.
Technical metadata: Technical metadata describes how data is stored and processed. It can include things like the file format, compression method, and bit depth.
The Yeeflow system administrators can create and manage Metadata from the admin center. Metadata can be used in approval forms, data list and document library as metadata fields.
Manage metadata
To manage metadata, firstly, login to Yeeflow with the system admin account, then go to the Admin center. From the left navigation panel click to expand the "Data management", and click "Metadata":
To add a metadata category, click the "+ New Metadata" button from the bottom of the left Metadata list:
On the popup window, type the code and name, then click OK. Note that the code cannot be edited once created.
After created a new Metadata, you can then add items under this Metadata. To add items, click the "+ New item" button.
Then on the popup window, type the information required, you can set the order number to sort the display of items.
You can also add sub items to any existing item. To add sub items, click the More settings button from an item, and click "+ Sub item" from the pop-up menu list.
Edit Metadata
You can edit, disable or delete Metadata. To do so, from the left Metadata list, select the Metadata, then click More settings button, and choose the options from the pop-up menu list.
When deleting a Metadata or the items, it will be deleted permanently. So, be sure to double check before execute the deletion operation.
If a Metadata or it's items is disabled. This Metadata cannot be used from your custom applications. The status will be changed to disabled. and the it will show in red from the Metadata management page.
You can enable those disabled Metadata or sub items. Both Disable and Enable operations will be effective immediately.
