Using Copilot in an Application

This article explains how end users interact with Copilot inside an application.

Prerequisites

Before using Copilot in an application, the following conditions must be met:

  • The Copilot is in Published status

  • The Copilot has been deployed to the application via Channels

  • At least one Copilot is enabled in the application

  • The user has permission to access the application and Copilot

Where Copilot Appears in an Application

After deployment, Copilot appears in the top navigation bar of the application as a unified AI assistant entry point.

Users can open Copilot from any page in the application without interrupting their current work.


Opening the Copilot Panel

To start using Copilot:

  1. Open the target application

  2. Click the Copilot icon or name in the top navigation bar

  3. The Copilot panel opens on the right side of the page

The Copilot panel appears as a right-side overlay, allowing users to continue working in the application.


Copilot Panel Layout

The Copilot panel is the main interface for interacting with Copilot and includes the following areas:

  • Top-left: Copilot name and Copilot switch dropdown

  • Top-right: More options, expand / collapse, and close buttons

  • Center: Chat conversation area

  • Bottom: Chat input area (text, attachment upload, voice input)


Switching Between Multiple Copilots

If multiple Copilots are deployed in the same application, users can switch between them.

Steps:

  1. Click the dropdown arrow next to the Copilot name in the top-left corner

  2. Select another Copilot from the list

  3. The panel switches to the selected Copilot

This allows users to quickly switch Copilots for different business roles or scenarios (for example, Finance, HR, or Procurement).


Managing Chats (New Chat, History, Search)

Click the More options (⋯) button in the top-right corner of the Copilot panel to manage chats.

Available options include:

  • New chat – Start a new conversation

  • Select existing chats – Continue a previous conversation

  • Search chats – Search chat history by keyword

This helps users keep conversations organized across different tasks.


Expanding and Collapsing the Copilot Panel

Copilot supports two view modes:

Expand to Full Page

  • Click the Expand button in the top-right corner

  • The Copilot panel expands to a full-page view

  • Recommended for long or complex conversations

Collapse Back to Side Panel

  • In full-page view, click the Collapse button

  • Copilot returns to the right-side panel


Chat Input and Enhanced Interaction

The chat input area at the bottom of the Copilot panel supports multiple input methods:

  • Text input – Type questions or requests

  • Attachment upload – Upload files for Copilot to reference (capability depends on configuration)

  • Voice input – Use speech recognition to convert voice to text

These features make interaction with Copilot more natural and efficient.


Interacting with Copilot (Business Scenarios)

Copilot is designed to help users complete real business tasks, not just answer questions.

Users can ask Copilot to:

  • Query business data

  • Create new records

  • Submit approval forms

  • Get process guidance and next-step recommendations

Copilot Feedback After Actions

After completing an action, Copilot typically:

  • Confirms what was completed

  • Shows the current status or approval stage

  • Suggests the next possible action

Example:

“The purchase request has been successfully submitted and is now pending manager approval.
Would you like me to open the request details?”


Copilot Behavior Notes

Copilot behavior depends on administrator configuration, including:

  • Instructions

  • Knowledge

  • Tools

Copilot may not complete a request if:

  • The user lacks permission

  • Required tools are not enabled

  • The action requires human approval

In such cases, Copilot will explain the reason or guide the user on next steps.


Usage Tips

  • Use clear and specific business language

  • Provide required information when prompted

  • Use New chat to separate different tasks

  • Switch to full-page view for complex scenarios


Common Questions

Copilot Is Not Visible

  • Confirm the Copilot is deployed to the application

  • Verify your access permissions

  • Refresh the page and try again

Cannot Switch Copilots

  • The application may only have one Copilot deployed

  • Contact an administrator to confirm deployment settings
