Create a Document Library with AI

Describe your document management requirements, review an AI-generated Implementation Plan, and confirm it to create a Document Library.

A Document Library stores files related to your application. With AI-assisted creation, you can describe the documents you want to manage and the information you need to track, then review the proposed configuration before creating the library.

For example, you can create a library for supplier contracts, project documents, or internal policies.

Before You Start

Open the application where you want to create the Document Library. Make sure you have permission to add application resources.

Before writing your request, consider:

  • What types of documents will the library store?

  • What information should users record for each document?

  • Which fields should be required?

  • What categories or status options will help organize the documents?

Step 1: Open New Application Resource

In your application, click Add resource (+) to open New application resource.

In the Create with AI area, select Document library as the resource type.

Step 2: Describe Your Document Library

Enter a description of the library you want to create.

Include its purpose, the information to track, and any important field requirements.

For example:

Create a document library named Supplier Contracts to store supplier contract files. Include Supplier Name, Contract Number, Contract Category, Effective Date, Expiration Date, Contract Owner, Contract Status, and Notes. Contract Category should include Materials, Equipment, and Services. Contract Status should include Draft, Active, Expired, and Terminated. Make Supplier Name and Contract Number required.

For better results, provide the following details:

Detail

What to include

Library name

A clear name, such as Supplier Contracts

Purpose

The documents the library will store

Document information

Fields used to describe and manage each file

Field types

Dates, text, choices, or other appropriate field types

Required fields

Information users must provide

Choice options

Values for categories, statuses, or other selection fields

Click Start with AI to submit your request.

Step 3: Review the Implementation Plan

AI analyzes your requirements and prepares an Implementation Plan.

Review the proposed library configuration before confirming creation. Check that the plan includes the information needed for your document management scenario.

Review area

What to check

Library identity

The name and purpose match your requirements

Fields

Required document information is included

Field types

Each field uses an appropriate type

Required settings

Mandatory information is identified correctly

Choice options

Categories and status values are complete and accurate

If something needs to change, explain it in the conversation.

For example:

Add a Renewal Notice Date field. Keep Supplier Name and Contract Number required, and add “Under Review” to the Contract Status options.

Review the revised plan before proceeding.

The Document Library is created only after you confirm the Implementation Plan.

Step 4: Confirm and Create the Library

When the plan meets your requirements, confirm it in the AI conversation.

AI creates the Document Library based on the confirmed plan. Follow any additional setup prompts shown in the interface.

When creation is complete, open the library using the resource link provided in the conversation.

Step 5: Check the Created Library

Open the Document Library and review its configuration.

Check that:

  • The library name is correct.

  • The expected fields are available.

  • Field types and required settings match your requirements.

  • Category and status options are correct.

Before sharing the library with users, review its access permissions and complete any additional configuration your business needs.

Creating the library does not upload your business documents. Upload your files after checking the configuration.

Step 6: Upload and Organize Documents

Use the Document Library’s file upload options to add documents.

Enter the relevant information for each file, such as its supplier name, contract number, status, and expiration date.

Where appropriate, create folders to organize documents by project, supplier, department, or another structure that suits your business.

Upload a sample file first and check that users can enter and view the required document information.

Continue Refining with Ask AI

After creation, use Ask AI to return to the original saved conversation and request further changes.

For example:

Add a Department field to identify the team responsible for each contract.

Or:

Add “Pending Signature” to the Contract Status options.

Review the proposed changes and any resulting configuration before using the updated library.

Tips for Better Results

Describe Document Information Clearly

Distinguish the files you want to store from the information you need to record about them.

For example:

Store signed supplier contracts and track supplier name, contract number, effective date, and expiration date.

Specify Important Field Types

If a field has a clear purpose, state its type.

For example:

Use date fields for Effective Date and Expiration Date, and a choice field for Contract Status.

Provide Choice Values

List the options users should select rather than asking AI to infer them.

For example:

Document Category should include Contract, Certificate, Proposal, and Other.

Separate Storage Requirements from Automation

If you also need expiration reminders, approvals, or other automated actions, treat them as additional configuration. After creating the library, configure and test the relevant workflow separately.

Frequently Asked Questions

Does AI create the library immediately after I submit my request?

No. AI first prepares an Implementation Plan. Review and confirm the plan before the library is created.

Can I change the fields before creation?

Yes. Explain the changes in the conversation and review the revised plan before confirming it.

Will AI upload my documents?

Creating a Document Library sets up the resource. Upload your business files separately after reviewing the library.

Does adding an expiration date automatically create a reminder?

No. A date field stores information. Configure a separate workflow if you need reminders or other actions based on that date.

Can I continue modifying the library after creation?

Yes. Use Ask AI to return to the saved conversation and describe the changes you need. Review the result before using the updated configuration.
