Create a Data Report with AI

Describe your reporting requirements, review an AI-generated Implementation Plan, and confirm it to create a Data Report.

A Data Report presents information from application data sources for reporting and analysis. With AI-assisted creation, you can explain which data to use and what the report should show, then review the proposed configuration before creating it.

For example, you can create a supplier contract report to help your team review contract amounts, cooperation status, and renewal dates.

Before You Start

Open the application where you want to create the Data Report. Make sure you have permission to add application resources and access the relevant data sources.

Before starting, identify:

  • The existing data sources the report should use.

  • The fields you want to include.

  • Any conditions that should limit the records shown.

  • How sources should relate if your report requires more than one.

Creating a Data Report does not create or populate its source data. Prepare the relevant resources before starting.

Step 1: Open New Application Resource

In your application, click Add resource (+) to open New application resource.

In the Create with AI area, select Data report as the resource type.

Step 2: Describe Your Report Requirements

Enter a description of the report you want to create.

Specify the source resource by name and explain which information the report should display. Use the actual field names where possible.

For example:

Create a Data Report named Active Supplier Contracts using the existing Supplier Management Data List. Display Supplier Name, Supplier Category, Contract Amount, Cooperation Status, and Contract Renewal Date. Include only records where Cooperation Status is Active.

The resource and field names in this example are illustrative. Replace them with the names used in your application.

For better results, include the following details:

Detail

What to include

Report name

A clear name, such as Active Supplier Contracts

Data sources

Existing resources containing the required information

Report fields

Fields you want to display

Record conditions

Rules that determine which records appear

Source relationships

How records should match when multiple sources are involved

Business purpose

Who will use the report and what they need to review

Click Start with AI to submit your request.

Step 3: Clarify Data Sources and Fields

AI may ask questions to resolve missing or ambiguous details before preparing the plan.

For example, it may need clarification when:

  • Multiple resources have similar names.

  • A requested field does not exist in the selected source.

  • The meaning of an amount or status field is unclear.

  • A relationship between data sources has not been specified.

Answer using the names and business rules from your application.

For example:

Use the Supplier Management Data List in the Procurement Management application. Use Contract Amount as the amount field and Cooperation Status as the status field.

If a requested field is unavailable, decide whether to omit it, use an appropriate existing field, or update the source separately.

Step 4: Review the Implementation Plan

AI prepares an Implementation Plan based on your requirements and any clarifications.

Review the proposed report configuration before confirming creation.

Review area

What to check

Report identity

The name and purpose match your requirements

Data sources

The correct resources are selected

Report fields

The required information is included

Field mapping

Each report field refers to the correct source field

Record conditions

Filters include the intended records

Source relationships

Matching rules are correct when multiple sources are involved

If changes are needed, explain them in the conversation.

For example:

Include both Active and Pending suppliers, and add Contact Person to the report.

Or:

Use Supplier ID to match records between the two sources.

Review the revised plan before proceeding.

The Data Report is created only after you confirm the Implementation Plan.

Step 5: Confirm and Create the Report

When the plan meets your requirements, confirm it in the AI conversation.

AI creates the Data Report based on the confirmed plan. Follow any additional setup prompts shown in the interface.

When creation is complete, open the report using the resource link provided in the conversation.

Step 6: Check the Created Report

Open the Data Report and verify its configuration and results.

Check that:

  • The report uses the correct data sources.

  • The expected fields are available.

  • Displayed values match the corresponding source records.

  • Filters include and exclude records as intended.

  • Any source relationships produce the expected matches.

Compare a few report entries with their original source records. If multiple sources are involved, also check for unexpected duplicate rows or missing information.

If the report is empty, check the source records, filter conditions, source relationships, and access permissions.

Step 7: Review Views and Permissions

Before sharing the report, review its available view settings and access permissions.

Configure the displayed columns, sorting, and search options needed by your users.

Verify who can access the report and which operations they can perform. Review permissions separately from report filters.

Continue Refining with Ask AI

After creation, use Ask AI to return to the original saved conversation and request further changes.

For example:

Add Contact Email from the Supplier Management Data List.

Or:

Update the report to include only Active suppliers in the Equipment category.

Review the proposed changes and check the resulting report against the source data.

Tips for Better Results

Name Data Sources Clearly

Use exact resource names. Include the application name if similar resources exist in different applications.

Use Existing Field Names

Refer to the actual fields in your sources. If the information is not currently collected, update the source separately.

Explain Relationships Between Sources

When requesting information from multiple sources, specify which fields identify matching records.

For example:

Match supplier records using Supplier ID.

Write Precise Conditions

Specify the field, comparison, and value.

For example:

Include records where Cooperation Status is Active and Contract Amount is greater than 10,000.

Start with a Focused Report

Begin with the fields and conditions needed for one business task. Check the result before adding more sources or requirements.
