Yeeflow allows you to create custom notifications for your data lists, so you can stay informed of any changes or updates that are relevant to you.

Here are the steps to create a custom notification for a data list:


Create new notification

To start creating a custom notification, click on “More settings” button in the upper right corner of your data list. Then, from the pop-up menu list, select "List Settings" to open the list settings pop-up window from the right side.

Then find and click "Notifications" to open the custom notification settings window.

You can then click the "+" button to create a new notification. When creating a new notification, you need to set the properties as below:

Give your notification a name, and choose the trigger condition for the notification.


Understanding the trigger conditions

The notification will be automatically triggered based on the pre-defined conditions. You can choose from different options such as when a new item is added, when an item is modified, when an item is deleted, or when an item meets a certain criteria.

  • Item Added: send notification when a new item is created.

  • Item Changed: send notification when an existing item is modified.

  • Regular Reminder: create recurring notifications based on the date period and frequency.

  • Reminder by Date Field: send notification based on the specific date and time which is stored in one Date field.

  • Comments Added: If you added the comments control to your custom list form, You can use this option to add notification to recipients when users added new comments on the form.

Data Conditions

Set conditions to trigger the notification. The detail settings is different based on your selection of the "When" options.

Item Added:

  • Any items: any new items will trigger this notification,

  • Items when meet the conditions: only trigger thisnotification when the pre-set conditions are meet.

Item Changed:

- Changed:

Any fields: Select this option if you want to trigger this notification whenever any changes made for an existing item,

Specific fields: Select this option to set one or multiple fields to be tracked. Only the values of those selected fields are changed, the notification can be triggered. For example, with the below settings, only trigger this notification when "Start Date" has been changed by the user.

- Data Conditions

  • Items when meet the conditions: only trigger this notification when the pre-set conditions are meet.

Regular Reminder

Period: set how frequently would you like to send the notification, This can be Daily, Weekly, Monthly or Yearly.

Date Range: Set the start date and end date of the regular reminder will be sent.

Time Conditions: Set the specific time the notification will be sent out.

Reminder by Date Field

- Data Conditions

  • Any items: any new items will trigger this notification,

  • Items when meet the conditions: only trigger thisnotification when the pre-set conditions are meet.

- Data Field: Select a date type field from the drop-down list.

- On the day: Select before or after a certain days from the value of selected data field.

- At the time: Check this option when you want the notification to be sent at a certain time of that day.

Comments Added

Setup notification content

Recipients

  • User and Group: Select specific users or user groups who will receive this notification.

  • List Fields: Select User type fields included in the current data list as the recipients of this notification.

For example, When a new task is created in the Tasks data list, send a notification to "Alex Jared" and the owner of the task as below:

Subject and body content

Set the subject and body content with the Mail editor. You can insert the dynamic content by selecting from the fields of this data list:

After all set, click the "OK" button at the bottom of this window to create this new notification.


Enable and disable notifications

When a new notification is created, the status of this notification will be set as disabled. Click "Enable" button to make this notification available.


Receive notifications

When a notification is triggered, the notification will be sent to the recipients. Recipients will receive an email notification from their mailbox.

If your account has integrated with Microsoft Teams, you may also receive this notification from your teams app, both from PC and mobile.
