The Update Fields action in Yeeflow allows users to modify specific fields within items in a collection. This action is crucial for ensuring data accuracy by enabling quick updates to item attributes, keeping workflows efficient and data relevant. It provides a streamlined way to update critical fields without needing to modify the entire item.


Key Components

  1. Execution Condition:

    • Define the criteria under which the Update Fields action will be triggered. This ensures the action only runs when specific conditions are met.

    • Example: If the item's status is "Pending," allow updates to specific fields to reflect the current conditions.

  2. Select Fields:

    • Choose the specific fields that you want to update within the item. This enables targeted updates to only the necessary information.

    • Field Settings: By clicking the settings icon, a Field settings popup window will appear. In this window, you can select one or more list fields that need to be updated. You can also specify the new values for the selected fields directly within this popup. This allows you to update multiple fields simultaneously, ensuring flexibility and precision in your updates.

  3. Confirm Before Execution:

    • You can choose to require a confirmation before executing the Update Fields action. If enabled, a confirmation message (e.g., "Confirm the field updates?") will appear, along with confirm and cancel buttons.

    • Both the confirm and cancel buttons can be customized, allowing you to modify the text to better fit your workflow requirements.

When to Use the Update Fields Action

  1. Status Changes:

    • Use this action to update the status of items, such as changing a task from "In Progress" to "Completed," ensuring that your data reflects current conditions.

  2. Batch Updates:

    • Ideal for workflows where multiple fields need to be updated simultaneously, such as changing delivery statuses for multiple items or updating product details in bulk.

  3. User Role Changes:

    • Use this action to modify fields that pertain to user roles or permissions, such as assigning new tasks or shifting responsibilities within a project.
